Winter 2019/2020 Update
‘My Offices’ page, Administrative Overhaul, New Reporting & More!
Whether you’re a par8o administrator for your healthcare organization or a referral coordinator-- we bet you’ve noticed some great changes to your par8o experience over the last few months!
With the recent changes, you now have more control of your par8o experience than ever before. Client Admins can add and remove staff members, reactivate accounts and even reset passwords. In addition to these changes, we’ve created a My Offices page which helps everyone stay up to date with the appropriate contacts for each office, so everyone knows who to reach out to with questions or data requests.
In this update, you’ll read about updates in three major categories:
Referral Management Updates: ‘My Offices’ page, ability to assign Referral Owners, new Work Queue filters, & more
- To help you better understand how your referral access works, we created the My Offices page! This new view shows you how your account is set up in par8o and who the administrator (known as an Office Admin) is for each of the offices you manage referrals for. Admins can answer most questions you might have, update provider information, edit account access, and more. If there is no Office Admin set up for your office, the page will direct you to the best person to contact.
- The work queue filters were refreshed this season with the addition of a few new fields including “Sending Provider”, “Receiving Provider” and “Number of Calls Logged”. This change makes the work queue even more flexible in finding specific referrals and specifying what you want to see on your screen.
- Everyone employed by or affiliated with an organization that purchases par8o licenses in the New York City metro area can now assign owners to referrals.
- Patient address was added to the Patient Referral Guide after requests from a few specific clients.
Administrative Updates: Password Resets, Improved Office Admin Account Creation & Additional Reporting Options
If you’re aClient Admin in par8o, you will see some exciting changes to your view and the functionality of the client admin tool. Shout out to the superusers for the excellent feedback which fueled these updates.
- To better empower you to handle account management needs independently and in the most secure way possible, Client Admins can now reset passwords and unlock accounts. Find this option in the Manage menu (indicated by a gear icon) on the Manage Staff tab. These actions initiate the same unlock or reset email sequence as when a par8o admin resets a password. Self-empowerment achieved!
- On the Manage Offices page, you’ll be able to see the office staff and the office admins on a single page. Previously, this required extra clicks.
- You can now provision Office Admin affiliations when creating accounts. Authorizations can also be copied from another account within the same organization.
- Providers and staff are now organized alphabetically on the Manage Offices page -- this simplifies the way you’re able to view, see who’s there, and who still needs to be added!
- There are several new categories available for reporting for organizations using par8o-generated dashboards or connecting to the par8o data warehouse to generate their own reports:
- The new “Referral Medium” category indicates if the receiving provider’s office received the referral via fax or online; sending referrals to online providers allows for more seamless care coordination, and some clients even promote online providers in the Care Compass.
- The data warehouse now tracks all call centers that the referral was added to as part of its lifecycle. This allows for those of you who work with multiple call centers to split out data more easily and build out-of-the-box call center reporting.
- In addition to the data warehouse additions for call center fields, you’ll now be able to see the timestamps of when a referral was added to and removed from specific Call Center queues directly on the par8o referral’s history items.
Architecture Changes: Updated Fax Logic
- While care coordination is most effective when both sending and receiving offices are online with par8o, faxes are still a pretty important part of healthcare. In February, we changed how fax logic works to match staff provisioning logic. Previously, par8o looked at the provider’s individual status to determine whether or not to send a referral online or via fax. We updated it so that par8o now looks at the office as a whole; meaning offices can no longer have some providers “online” and others receiving referrals via fax, which was confusing for referral coordinators. Today, if an office has a staff person registered and actively using par8o, all referrals will be sent online. If not, all referrals will be sent via fax.
