What do the different completion reasons mean on a referral?
Referrals go through different statuses over the course of their life cycle in par8o. All referrals eventually end up in a 'Completed' status and have an associated Completion Reason depending on the path the referral took. Completion reasons are visible on the referral history and in reporting.
It's important to note that different clients use different workflows within par8o and so not all referrals are eligible for all completion reasons-- we made a few notes below of where that applies!
Completion Reason | Definition |
Marked as complete 48 hours after appointment date | Appointment date and time of the referral has passed and the sending side did not request Follow Up. |
Autocomplete - Patient indicated referral was scheduled | Patient replied to a SMS message from par8o to indicate that they scheduled an appointment. |
Autocomplete - Receiving provider is fax-only | Referral was sent to an office that does not use par8o to manage referrals. This referral was sent via fax with all PHI included because their fax number was previously verified. |
Autocomplete - Sent to unconfirmed profile | Referral was sent to an office that does not use par8o to manage referrals. This referral was sent via fax with no PHI included because the office's fax number is unverified. The fax includes information on how to obtain the referral details and verify the fax number. |
Marked as completed because of inactivity | Referrals autocomplete due to inactivity to keep staff queues clean. The autocompletion timeframe is a per-client configuration. - If the referral had previously been Declined but not Reassigned, then the inactivity is likely on the part of the sending staff. - If the referral has not been Declined or has been Declined but Reassigned this means that the receiving staff did not action the referral |
Discarded | Referral was removed or cancelled by the sending staff. |
Completed outside of par8o | During finalization, staff indicated that they are managing this referral outside of par8o. Note: a limited set of clients use this feature. |
Recommendations list provided to patient, patient will schedule at his or her convenience. Marked as complete. | Patient was provided a list of providers to contact for scheduling an appointment and the referral has been marked completed. Note: not all clients use this functionality |
Appointment Canceled | While the referral was in Follow Up status receiving staff recorded that the scheduled appointment was canceled. This is based on the option the staff selected from follow up list. Note: not all clients use the Follow Up workflow. This will only be applicable to referrals from certain clients. |
Appointment Occurred | While the referral was in Follow Up status receiving staff recorded that the scheduled appointment was occurred. This is based on the option the staff selected from follow up list. Note: not all clients use the Follow Up workflow. This will only be applicable to referrals from certain clients. |
Appointment Occurred - Referral Clinical Doc Received and Uploaded to EMR | While the referral was in Follow Up status receiving staff recorded that the scheduled appointment was occurred and referral clinical doc was received and uploaded to EMR. This is based on the option the staff selected from follow up list. Note: not all clients use the Follow Up workflow. This will only be applicable to referrals from certain clients. |
No appointment verification provided within 10 days | Appointment date and time of the referral has passed and the sending side requested Follow Up. Staff at the receiving office took no Follow Up action on the referral within 10 days of the appointment. Note: not all clients use the Follow Up workflow. This will only be applicable to referrals from certain clients. |
Patient No Show | While the referral was in Follow Up status receiving staff recorded that the patient didn't show up for the scheduled appointment. This is based on the option the staff selected from follow up list. Note: not all clients use the Follow Up workflow. This will only be applicable to referrals from certain clients. |
Unable to Verify Attendance | While the referral was in Follow Up status receiving staff recorded that they were unable to verify whether the patient was able to attend the scheduled appointment. This is based on the option the staff selected from follow up list. Note: not all clients use the Follow Up workflow. This will only be applicable to referrals from certain clients. |
